Introduction
The Weyburn & District Hospital Foundation (“WDHF,” “we,” “us,” or “our”) is committed to protecting the privacy of our donors, volunteers and website visitors. This policy explains what wdhf.ca collects, why, who handles it and how long it is kept.
Information We Collect
- When you use the contact form: your name, email, phone number if you give it, the subject and your message.
- When you give online, once or monthly: your name, email, mailing address and the amount. For a gift in memory or in honour of someone, also their name, your message and, if you want the family told, the family's email address.
- When you buy event tickets: your name, email, the event and the tickets you chose.
- Your card details are typed into the secure card fields of our payment processor, Clover. They go straight to Clover, and we never see or store your card number.
Our newsletter sign up is a form run by Mailchimp. What you enter there goes to Mailchimp and is covered by Mailchimp's privacy policy.
How We Use Your Information
We use personal information to:
- Process your gift or ticket order and send you a confirmation by email
- Issue official tax receipts as required by the Canada Revenue Agency
- Email the family about a memorial gift when you give us their address
- Reply to messages sent through our contact form
- Send newsletters to people who signed up for them
Who Handles It
We do not sell, trade or rent your personal information. Propel Digital Solutions builds and runs this website for us. The site is hosted by Vercel. Contact messages, gift records and ticket orders are stored in Sanity, the content system behind the site. Emails are sent through Resend, payments are processed by Clover, and error reports go to Sentry. Several of these services store data in the United States, so your information may be processed outside Canada and be subject to the laws there. A short note of each payment (the amount and your email address) is also written to our hosting provider's logs.
Error Reporting
When a page on this site breaks, Sentry receives a report with the page address, your browser and device type and what went wrong, so the problem can be fixed. Only when something breaks, Sentry also keeps a masked replay of how the page behaved just before. In that replay every word on the page and everything you type is hidden and images are blocked, so it shows the layout and clicks and not what you read or wrote. Sentry keeps these reports for as long as its service keeps them, then deletes them.
Data Security
We take reasonable steps to protect your personal information from unauthorized access, change or disclosure. Online gifts and ticket orders are paid through Clover's secure, encrypted card fields.
Tax Receipts and How Long We Keep Information
As a registered Canadian charity (BN 810886028 RR0001), we are required to keep donor records for issuing official tax receipts. These records are kept as long as the Canada Revenue Agency requires. Other information is kept only as long as we need it for the reason you gave it to us.
Cookies
The site sets one cookie, which remembers that you closed the cookie notice, and keeps two small notes in your browser that are explained on our cookie policy. It uses no analytics, advertising or tracking cookies.
Your Rights
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, except where the law requires us to keep it. You can unsubscribe from our newsletter at any time with the link in each email.
